This Website Privacy Policy (“Website Policy”) explains how NextTables processes personal data when you visit our websites, interact with our marketing content, request information, or engage with us in a sales context outside the product itself.

SCOPE
This Website Policy applies where NextTables acts as an independent controller, including when you:
- visit our website and interact with pages and content,
- submit inquiries or request information (e.g., demos, downloads),
- subscribe to updates or register for webinars/events,
- interact with our marketing communications, and
- engage with us in a direct sales process (quotes, contracting communications).
WHAT PERSONAL DATA WE PROCESS
Depending on your interactions, we may process:
- Website usage data: IP address, device and browser information, pages viewed, timestamps, referrer URL, and interaction events.
- Cookie and preference data: consent status, cookie identifiers, and preference settings (where applicable).

NextTables processes Website Policy data as an independent controller for:

- Analytics and performance measurement (Art. 6(1)(a) GDPR – consent, where required for non-essential cookies/trackers).
- Responding to inquiries and providing requested information (Art. 6(1)(b) GDPR – pre-contract steps; and/or Art. 6(1)(f)).
- Marketing communications (consent under Art. 6(1)(a) GDPR where required; and/or legitimate interests under Art. 6(1)(f) GDPR, subject to applicable marketing laws).
- Sales relationship management (Art. 6(1)(b) GDPR and/or Art. 6(1)(f)).
- Compliance and record-keeping (Art. 6(1)(c) GDPR).
COOKIES, TRACKING, AND CONSENT
We may use cookies and similar technologies (e.g., pixels, tags) to operate our website, remember preferences, measure performance, and improve marketing. Where required, we ask for your consent before placing non-essential cookies or enabling non-essential tracking.

TOOLS WE USE (WEBSITE, MARKETING, SALES)
HubSpot (Marketing and Sales Platform)
We use HubSpot to manage marketing and sales activities, such as handling inquiries, maintaining business contact records, sending marketing communications (where applicable), and managing sales processes. We configure EU data hosting options where available. Depending on the provider’s support model and configuration, limited processing or access may occur outside the EEA/UK (e.g., for support purposes). Where applicable, we implement safeguards as described below.
Google Analytics (GA4)
We use Google Analytics (GA4) to understand how visitors use our website and to improve content and performance. GA4 may use cookies and similar technologies and process usage data. Where required, GA4 is used based on your consent for analytics cookies.
Google Search Console
We use Google Search Console to monitor and improve our website’s presence in Google search results and to identify technical issues. Search Console provides aggregated performance information about our site’s search visibility.
CUSTOMER REFERENCES AND CASE STUDIES
In a B2B context, we may publish customer reference information such as a customer’s company name and logo, and may create customer success stories or case studies. Any such use is governed by the applicable commercial agreement (e.g., the relevant Order/quote clause for customer references).
Where a case study includes personal data (e.g., names, quotes, images of individuals), we will publish such personal data only based on an appropriate legal basis (such as consent) and we will honor withdrawal/opt-out requests where applicable.
INTERNATIONAL TRANSFERS
Some service providers may process data outside the EEA/UK. Where transfers outside the EEA/UK occur, we implement appropriate safeguards, which may include EU Standard Contractual Clauses (SCCs), reliance on adequacy decisions where applicable, and additional technical and organizational measures.
RETENTION
We retain personal data only as long as necessary for the purposes described above and as required by law. Suggested baseline retention:
- Marketing leads / inquiry records: up to 24 months after last interaction, unless the record becomes part of an active customer relationship.
- Sales/contracting communications: for the duration of the sales process and as required for documentation and compliance.
- Cookie/analytics data: according to tool configuration and consent settings, subject to minimization and retention controls.
- Records subject to legal retention: retained as required under applicable German commercial and tax retention rules (commonly up to 10 years, depending on record type).

Where we act as controller, individuals may have rights under GDPR (access, rectification, deletion, restriction, objection, portability), subject to applicable exceptions and legal retention obligations.
